Groups in ActivTrak

Groups in ActivTrak allow you to organize users and/or computers by team, location, or any other characteristic. Utilizing groups will enable you to easily analyze behavior via ActivTrak reports, dashboards and other features. Additionally, alarms and website blocking can be configured at the group level.

Admins and Configurators can manage Groups by navigating to Settings > Users & Groups > Groups. This page displays the full list of Groups.

In the top right corner of the page, you will find:

  • The triangular filter icon can adjust which groups to display based on Source & Type.
  • The gear icon enables/disables Active Directory groups.
  • The search bar allows Admins to quickly find a particular group(s) where a user or computer is a member.

Group sources and types

Group sources in ActivTrak:

  1. The ActivTrak App (manual creation or CSV file uploads)
  2. Active Directory
  3. Azure AD / Entra ID

These group sources are indicated by the group's icon, as reflected in the screenshot below. Some pages throughout the ActivTrak app may utilize the group source icons.

Group types in ActivTrak:

  2. Computer Group
  3. Mixed Group

These group types are indicated by the group type icon, as reflected in the screenshot below.

Manually create Groups

To create a group manually, an Admin or Configurator can navigate to Settings > Users & Groups > Groups, and click the Create Group button at the top. To create a New Group manually, click the option on the left: New Group.

A prompt to name the group will appear. Once a name is added, click the Add Members button.

Next, add Users and/or Computers to the new group by selecting the box(es) in the left-most column. Use the toggle in the top right corner to move between Users and Computers. The search bar will help you find specific Users and Computers quickly.

 

Note: Groups do not require both Users and Computers, but they must have computers if the group will be used for website blocking.

Once your group contains the correct members, click the Next button to view a preview of the group. In the screenshot example below, the preview shows that this new group will include one user and one computer.

 

If everything is correct, click the Create button to complete the process. The newly created group will now appear on the Groups page.

Bulk create Groups via CSV

To upload groups, an Admin or Configurator can navigate to Settings > Users & Groups > Groups, and click the Create Group button at the top. To create one or more Groups via CSV upload, click the option on the right: Upload Group.

 

A prompt to add your CSV file will appear. You can obtain the list of current Users and Groups via the Download link.

Note: Users may appear multiple times in this file if they are assigned to multiple Groups. Groups without Users and Users that are not assigned to any Group will be listed at the bottom of the file.

If you are creating only Groups, your CSV needs to include the header: group_name. For the creation of new Groups and/or to assign Users to Groups (new or existing), you will need the following headers in the CSV file: group_name, member_id and member_type.

Group names have a 65-character limit. If you are unsure of the Member Type, use "Client."

Note: The CSV upload can only create new groups and assign users to groups. You cannot modify or delete existing groups or group assignments; these must be done from the Groups page within the app.

A message will display when the upload is successfully completed, and any newly created groups will now appear on the Groups page.

Edit or delete Groups

ActivTrak groups can be edited by clicking anywhere in their row, which brings up a Group Details page, as shown in the screenshot below.

From the Group Details page, you can

  • Rename a group by clicking the pencil icon next to a group name
  • Add more users or computers to a group by clicking Add Member in the top left
  • Remove members in bulk by placing a checkmark next to multiple users or computers and clicking the Remove Member button
  • Remove an individual member by clicking the three-dot menu to the right of a row

Delete Groups

To delete a single ActivTrak group, click the three-dot icon to the far right of its row, and click Delete.

To delete groups in bulk, select the box next to each group you wish to delete, then click the Delete button at the top, as shown in the screenshot below.

Deleting groups does not delete the users or computers within them.

Note: From the Groups Page, you can only delete ActivTrak groups. Azure AD groups are synced through Azure AD, and the deletion of individual Active Directory groups is not possible from the ActivTrak App (they can only be enabled/disabled as a whole).

Active Directory Groups

If enabled, Active Directory groups will import groups from your traditional on-prem Active Directory once the ActivTrak Agent is installed. To enable Active Directory Groups, click the gear icon on the Groups page (Settings > Users & Groups > Groups), as shown in the screenshot below.

Only global security groups are imported. They are read-only, cannot be deleted, and can only be disabled/enabled as a whole, not individually. Any edits made to the Active Directory groups will sync to ActivTrak periodically. Restarting an Agent will force Active Directory groups to sync.

The ActivTrak Agent performs an LDAP query upon the service start to see if the signed-in user is a member of any Active Directory global security groups. If it detects membership, it will pull in that group's membership information to populate that group with any users located within ActivTrak, as those other users' Agents will also be performing their own LDAP queries.

Sometimes the configuration of Active Directory groups does not align with how your organization wants to analyze employee productivity data. To disable Active Directory groups, click the gear icon again and select Disable Active Directory Groups.

Azure AD / Entra ID Groups

Groups from Azure AD can be imported to ActivTrak through an integration available to customers on a paid plan. The integration attempts to link Azure AD user profiles to their ActivTrak Agent data, then adds the linked users to groups. Only groups that are part of the defined ActivTrak parent group and with linked users are created in ActivTrak.

Download Groups

To download all of your groups in a single file, click Download and select Download CSV:

The downloaded CSV contains the following fields:

member_type

Client = user agent

Device = computer agent

member_id ActivTrak assigned
member_domain Computer/network assigned
member_name Computer/network assigned
member_alias Customer defined
group_id ActivTrak assigned
group_name Customer defined
group_type One of the three sources (ActivTrak, Active Directory or Azure AD)

 

Notes: Users and Computers will appear in multiple rows if they belong to multiple groups. The bottom rows will show any groups with no users or computers (member fields are blank), as well as any users or computers assigned to no groups (group fields left blank).

Frequently Asked Questions

Does the term "Team" used in some reports and filters mean the same as "Group"?

Yes! We are currently using the terms Team and Group interchangeably.

Why isn't a Group I just created showing in my Insights reports?

Insights data updates once a day; changes in Groups should reflect in the next business day.
