Change overview
We've updated how ActivTrak counts meeting attendees for offline meetings. The meeting host is automatically included in the total attendee count used to determine if a calendar event qualifies as an offline meeting.
What's changed
Previously, the system only counted invited participants when evaluating the minimum attendee requirement for offline meetings. Now, the meeting host is included in this count, making it easier for single-host meetings and small team gatherings to qualify as offline meetings.
Why this matters
Previously, meeting organizers weren't always counted as attendees, depending on their calendar software and version, unless they added themselves as attendees as well.
The update ensures that meeting organizers are always included in the meeting attendee count and will receive an offline meeting time when no digital activity is recorded by the agent.
Important considerations
While this update resolves the common issue of meeting organizers being unexpectedly excluded, it means hosts will receive offline meeting duration even for meetings they create but don't intend to attend (For example, when a recruiter sets up a meeting for a job applicant interview).
Impact on your data
- Minimum attendee threshold: If your account is configured with the default 2-person minimum, meetings with just 1 invited participant (plus the host) will now qualify as offline meetings
- Historical data: This change applies to future data collection only - previously recorded offline meeting data remains unchanged

Configuration settings: Your existing minimum attendee thresholds in Insights Configuration remain the same, but will now include the host in the total count
Example - Before: A meeting with 1 host + 1 invited participant = 1 attendee (didn't meet 2-person minimum)
- After: A meeting with 1 host + 1 invited participant = 2 attendees (meets 2-person minimum)
Action required
No action is needed from administrators. The change has been automatically applied to all accounts. If you need to adjust your minimum attendee thresholds in response to this update, you can modify them in Settings > Account Configuration > Offline Meetings Settings.
