New User Management - March 2026

Starting March 18, 2026, our new and improved user management is rolling out to all accounts. Account management actions—including merging Agents, setting the tracking status, and much, much more—are now managed on the new Users page. The following pages will be read-only: User Agents, User Aliases, and Do Not Track. Learn more!

 

Admins can manage user agents from the User Agents page, where they can view user information, take administrative actions, and maintain their user list.

The User Agents Page features an intuitive design that enables Admins to view and export user information and take administrative actions, such as deleting, merging, or adding user agents to the Do Not Track (DNT) List.

The User Agents page displays key information about each user agent in your organization:

Column Name Description
ID The ActivTrak ID number of a user agent. The first user agent in an organization starts at 1 and then increases sequentially.
Logon Domain The logon domain on which the user agent’s unique activity was identified.*
User (Alias) A concatenation of a user agent’s user attribute and user alias (only present if populated).
First Log Record A date timestamp that represents the First Log Record for a given user.
Last Log Record A relative time value from the current time to the last log record for a given user.
Last Screenshot A relative time value from the current time to the screenshot for a given user. This is only displayed if Screenshots are enabled.

*Note: WORKGROUP domain is the default Windows domain if it wasn't updated.

When you exceed your license count

You have a 30-day grace period when your user agent count exceeds your license count. During this time, you'll see an in-app message and receive an email notification about the overage.

To avoid service disruption, take one of these actions within 30 days:

  • Add more licenses by updating your plan or contacting your account manager
  • Reclaim licenses by deleting, merging, or adding users to the Do Not Track list

During the grace period, you'll have full access to all data and reports. After 30 days without action, you can still access the app, but reports and dashboards won't display data.
