ActivTrak's Work Advisor is a conversational AI interface that enables workforce leaders to ask natural language questions about their teams and receive data-driven insights — without requiring deep product expertise or manual report navigation. Work Advisor connects directly to ActivTrak workforce data to support faster, more informed decisions around staffing, scheduling, and team utilization. All responses are advisory in nature and are designed to support human decision-making, not replace it.
Work Advisor is currently available in Early Access. Features and limits are subject to change as we incorporate feedback and usage data.
To access Work Advisor, navigate to Ask ActivTrak in the ActivTrak App.

What is Work Advisor
Workforce decisions — like whether to backfill a role, flag an attendance pattern, or identify which teams are overloaded — typically require pulling data from multiple reports and spending time piecing it together. Work Advisor does that work for you.
Ask a question, and Work Advisor surfaces the relevant data, explains what it found and links you directly to the underlying report so you can dig deeper. Every response is advisory, meaning it gives you evidence-based guidance to support your decision — not an automated action.
How to access Work Advisor
Before the Work Advisor appears in the ActivTrak App navigation, an Admin must enable it for the appropriate roles.
For admins: enabling access
- Navigate to Settings > Access > Role Access
- Find Ask ActivTrak in the feature list
- For each role you want to enable, change the dropdown from No Access to Access (changes save automatically)
Once enabled, Ask ActivTrak will appear in the left navigation bar for all users assigned to that role. Access can be granted or removed at any time from the Role Access page.
Note: We recommend enabling Work Advisor only for roles that regularly use workforce reporting and decision-making features.
For users: finding Work Advisor
Once your admin has enabled access for your role, Work Advisor will appear in the left navigation bar as Ask ActivTrak.
If you don't see Ask ActivTrak in your navigation, contact your account admin to request access through the Role Access settings.
Getting started
Starting a conversation
Type your question in the text field at the bottom of the screen and press Send. You can also browse suggested questions, organized by use case, to help you get started.
Suggested questions
If you're not sure where to begin, Work Advisor offers suggested questions grouped by topic. Click any suggested question to send it to Work Advisor immediately.
Staffing Decisions
- How can I improve staffing coverage based on recent workload patterns?
- Are there opportunities to better align staffing with current utilization trends?
- Where might additional staffing support improve team performance or balance?
Workforce Utilization
- Which teams are consistently underutilized?
- How can we redistribute workload to improve efficiency?

Following up
Work Advisor remembers the context of your conversation. After receiving a response, you can ask follow-up questions to go deeper — for example, narrowing to a specific team, changing the time period or asking what you should do next.
Starting a new conversation
Click New Chat at any time to start a fresh conversation. Your previous conversations are saved in the sidebar under Recent so you can revisit them anytime.
You can click the overflow menu (⋮) next to any recent chat to either Bookmark, Rename, or Delete it.
Session usage
Work Advisor includes 10 sessions per app user per month, with a daily limit of 3 sessions. A session is a conversation with Work Advisor that ends after 15 minutes of inactivity. Multi-turn follow-up questions within the same chat will count as a single session. Additionally, there is a monthly account allowance of 500 sessions.
Note: These limits are in place to help us understand usage patterns during Early Access. They are conservative starting points that may change.
How to ask good questions
Work Advisor works best when your questions are clear and specific. Here are a few tips:
Be specific about the team or person. Rather than asking "who is underutilized," try "which users on the Marketing team are underutilized this month?" The more context you provide, the more relevant the response.
Include a time period when it matters. Work Advisor defaults to the last four weeks if no time period is specified. If you need a different window, include it in your question — for example, "over the last 90 days" or "this quarter."
Ask one question at a time. Work Advisor handles focused questions better than multi-part requests. If you have several questions, ask them one at a time as a follow-up conversation.
Use natural language. You don't need to use specific terminology or report names. Ask questions the way you'd ask a colleague — Work Advisor is designed to understand plain language.
Example questions to try
- "Two people on the Sales team recently left. Should we backfill their roles?"
- "Which teams have schedule adherence below 80% this month?"
- "Who has taken days off without a PTO record in the last 90 days?"
- "Which teams are consistently over 110% utilization?"
- "Can the Operations team absorb additional workload without overtime risk?"
Understanding responses
Every Work Advisor response includes:
Advisory response: A plain-language answer to your question based on your team's data. Responses should always use phrasing such as "the data suggests" or "based on available data" to make it clear that this is guidance to support your decision, not a final directive.
Evidence used: A summary of the key metrics and data points Work Advisor used to reach its conclusion — for example, utilization percentages, absence day counts or schedule adherence rates.
Note: Work Advisor only surfaces data you're already authorized to see based on your Viewable Groups permissions. If a report link isn't visible, it means you don't have access to that data.
Providing feedback
After each response, you'll see thumbs-up and thumbs-down options.
- Thumbs up — lets us know the response was helpful.
- Thumbs down — opens a short form where you can tell us what was wrong, such as incorrect data, an incomplete answer or unclear guidance.
Your feedback directly improves Work Advisor. During Early Access, we're actively reviewing all feedback to refine accuracy and response quality.
What Work Advisor can't do
Work Advisor is designed to assist with workforce decisions using data already in ActivTrak. During Early Access, the following aren't yet supported:
- Uploading external files such as timecards or HRIS exports
- Accessing data from outside ActivTrak
- Automating actions or approvals on your behalf
- Accessing screenshots, meeting titles, calendar details or personal email addresses
Frequently asked questions
Is Work Advisor making decisions for me?
No. Every response is advisory. Work Advisor provides evidence-based guidance to help you make better decisions — the decision always stays with you.
How current is the data?
Work Advisor uses the same data that powers your ActivTrak dashboards. Data freshness depends on your account's sync settings.
Can Work Advisor see all of my employees?
Work Advisor respects your Viewable Groups permissions. It will only surface data for users and teams you're already authorized to see.
What if the response seems incorrect?
Use the thumbs down feedback option to flag it. During Early Access, our team reviews all feedback and uses it to improve response accuracy.
Can other users on my account see my conversations?
Conversations are tied to your individual user account. Other users can't see your chat history. However, each conversation has a unique URL — if you share that link, the recipient can view the conversation if they have Work Advisor access and are on the same account.
Can I upload files like timecards or CSVs?
Not during Early Access. File upload capability is planned for a future release. Today, Work Advisor can only use data already available within ActivTrak.
What happens if I ask a question Work Advisor can't answer?
Work Advisor will let you know the topic is outside its current scope and redirect you to a supported use case. For support-related questions, it will direct you to the Support widget.
Is my data secure?
Yes. Work Advisor enforces the same Viewable Groups permissions as the rest of ActivTrak. It doesn't process screenshots, meeting titles or other PII-sensitive fields. Interaction logs are anonymized and don't contain conversational content. For more information, visit ActivTrak's Trust Center.
Can I see charts or visuals in responses?
Not during Early Access. Responses are structured text with metrics and rationale. Visual response cards and charts are planned for a future release.
Will this replace any existing ActivTrak reports or features?
No. Work Advisor is a new, additive capability. All existing dashboards and reports remain available and unchanged.
Is there a limit on how many questions I can ask?
During Early Access, there are no enforced usage limits. A fair use allowance will be introduced at general availability.
