Setup Guide: ActivTrak MCP for Copilot

ActivTrak MCP lets you ask Microsoft Copilot plain-language questions about your workforce data, such as productivity, utilization, team capacity, schedule adherence and absence patterns. You see only the data your ActivTrak role and permissions allow. Refer to Copilot's documentation to understand how it handles your data and how to share access with the right people.

Important: This is an early-access setup while we complete Microsoft's review of our Copilot listing. Once approved, you'll be able to add ActivTrak directly from the Copilot agent store, and you won't need these steps.

Contents

Requirements

  • A Microsoft 365 Copilot license for each user
  • A Microsoft 365 admin account (with permission to upload custom apps) to deploy
  • An ActivTrak account with MCP access for each user
  • The ActivTrak Copilot app package (linked at the bottom of this article)
  • 5-10 minutes to complete the setup

Enable MCP access in ActivTrak

Only an ActivTrak Admin can enable MCP access for your organization. If you are not an admin, share this step with your ActivTrak administrator and ask them to complete it.

  1. Log in to ActivTrak as an Admin.
  2. Navigate to APIs & Integrations > MCP Access.
  3. Click the Enable MCP access button in the top right.
  1. A confirmation dialog will appear. Review the details and click Enable access.
  2. Once enabled, you will see a confirmation message.

Deploy via Microsoft 365

Only a Microsoft 365 admin can deploy the ActivTrak agent. This is an organization-wide setup.

  1. Sign in to the Microsoft 365 admin center.
  2. Go to Settings > Integrated apps, and select Upload custom apps.
  3. Choose the Teams app, upload the ActivTrak .zip file (attached to the bottom of this article), and select Next.
  4. Select who gets access: everyone, specific users or groups. Review the permissions and select Deploy.
  5. Allow some time for the app to appear for users.

Open in Copilot

Individual users in your organization will need to follow these steps to open ActivTrak in Copilot:

  1. Go to m365.cloud.microsoft/chat.
  2. In the sidebar, under Agents, select ActivTrak MCP. If you don't see it, select Get agents and look under apps deployed by your organization, or ask your admin to confirm you were included.

Log in to ActivTrak

  1. Ask a question, such as "Which teams had the lowest utilization last week?"
  2. Select Sign in to ActivTrak MCP when prompted. Allow the pop-up window if your browser blocks it.
  3. Log in with your ActivTrak account. The window closes when sign-in completes, and Copilot answers.

Start querying your workforce data

You can now ask Copilot questions about your workforce in natural language.

Example questions:

  • Which teams are closest to burnout this quarter?
  • Do we have capacity to take on the new product rollout?
  • Which teams had the lowest utilization last week?
  • What is the average productive time for our customer success team compared to last month?

Copilot will access your ActivTrak data using your permissions. You will only see data that you are authorized to view based on your role permissions and Viewable Groups configuration in ActivTrak.

Troubleshooting

The agent doesn't appear in Copilot

Your admin may not have included you in the deployment. Ask them to check the app's availability under Integrated apps.

The sign-in window never opens, or it closes immediately

Allow pop-ups for m365.cloud.microsoft, then try again in a new chat.

I see "Something went wrong" after logging in

Sign out of other ActivTrak sessions and retry. If it persists, contact ActivTrak Support with the time of the error.

I see no data, or less than I expected

The agent shows only what your ActivTrak role and Viewable Groups allow. Confirm your permissions with your ActivTrak admin.

Copilot answers without using ActivTrak data

Start a new chat with the ActivTrak agent selected, and name ActivTrak in your question.

Data access and privacy

Your data is secure:

  • All connections are encrypted.
  • You can only see data that matches your ActivTrak role permissions and Viewable Groups.
  • ActivTrak's compliance guardrails are enforced. The system will not answer questions asking for termination recommendations or other HR judgments.

Your administrator has visibility:

  • Your ActivTrak Admin can see which users have connected to Copilot and when they last queried data.
  • Admins can revoke a user's connection at any time from the MCP Access page.

What you can query

At launch, ActivTrak MCP supports queries about:

  • Productivity: Productive time, productive hours vs. goals, productivity trends by team or individual
  • Utilization: Team utilization rates, over/under-capacity analysis, utilization trends, workload distribution
  • Schedule adherence: Work schedule adherence metrics, start/end time alignment, and schedule consistency
  • PTO data: Paid time off tracking, leave balances, and absence data (available if your account is leveraging the HRIS Integration)

We will add additional data domains throughout the year.
