Setup Guide: ActivTrak MCP for Claude (Beta)

ActivTrak MCP allows you to connect Claude directly to your ActivTrak workforce data. Query your workforce in natural language, generate custom analyses and visualizations, leverage data pulled from multiple sources (HRIS, CRM, etc.)  and uncover clearer insights without leaving Claude.

This guide walks you through setting up Claude Desktop to connect to the ActivTrak MCP.

Requirements

  • An active ActivTrak account with admin access (to enable MCP access for your organization)
  • A Claude account with Administrator access (to add the custom MCP connector to your organization)
  • 5-10 minutes to complete the setup

Enable MCP Access in ActivTrak

Only an ActivTrak Admin can enable MCP access for your organization.

  1. Log in to ActivTrak as an Admin.
  2. Navigate to APIs & Integrations > MCP Access.
  3. Click the Enable MCP access button in the top right.

 

  1. A confirmation dialog will appear. Review the details and click Enable access.
  2. Once enabled, you will see a confirmation message.

Configure the MCP Connector

Only a Claude Administrator can configure the MCP Connector. This is an organization-wide setup.

  1. In the bottom-left corner of your Claude interface, click on your name to open the menu and select Settings.
  2. In the Settings panel, select Connectors from the left-hand menu.
  3. In the top right corner, click on Add and choose Add Custom Connector.
  4. In the new dialog window, configure the connector with the following two values:
    Name: ActivTrak MCP
    URL: [https://api.activtrak.com/advisor/mcp]
  5. Save the connector settings.

Once this is complete, any user in your organization can connect Claude to ActivTrak data.

Connect Claude to ActivTrak MCP

Individual users in your organization will need to follow these steps to connect Claude to ActivTrak:

  1. Open Claude on your machine.
  2. In the bottom-left corner of your Claude interface, click on your name to open the menu and select Settings.
  3. In the Settings panel, select Connectors from the left-hand menu.
  4. Search or browse for ActivTrak MCP in the list of Connectors.
  5. Click the Connect button.
  6. You will be redirected to an ActivTrak login page in your browser. Enter your ActivTrak username and password. If multi-factor authentication is enabled on your account, complete that step.
  7. After you authenticate successfully, you will see a confirmation message: "You're connected."
  8. Close the browser tab and return to Claude. Claude is now connected to your ActivTrak data.

Start querying your workforce data

You can now ask Claude questions about your workforce in natural language.

Example queries:

  • Show me the utilization trends for our Sales team over the last 30 days.
  • Which team members started late frequently in the past week?
  • What is the average productive time for our customer success team compared to last month?
  • Create a chart showing productivity by team for the last quarter.

Claude will access your ActivTrak data using your permissions. You will only see data that you are authorized to view based on your role permissions and Viewable Groups configuration in ActivTrak.

Troubleshooting

I see the ActivTrak login page, but my credentials don't work

  1. Verify that your ActivTrak administrator has enabled MCP access.
  2. Verify you are using the correct ActivTrak username and password.
  3. If you have multi-factor authentication enabled, make sure you complete that step.

The connection worked, but Claude isn't responding to workforce questions

  1. Try asking a simpler question: "What data domains are available?" or "Show me my productivity data."
  2. Try using a different model. Sonnet 5 is the recommended model.
  3. Restart Claude and open a new chat.

Data access and privacy

Your data is secure:

  • All connections are encrypted.
  • You can only see data that matches your ActivTrak role permissions and Viewable Groups.
  • ActivTrak's compliance guardrails are enforced — the system will not answer questions asking for termination recommendations or other HR judgments.

Your administrator has visibility:

  • Your ActivTrak Admin can see which users have connected to Claude and when they last queried data.
  • Admins can revoke a user's connection at any time from the MCP Access page.

What you can query

At launch, ActivTrak MCP supports queries about:

  • Productivity: Productive time, productive hours vs. goals, productivity trends by team or individual
  • Utilization: Team utilization rates, over/under-capacity analysis, utilization trends, workload distribution
  • Schedule Adherence: Work schedule adherence metrics, start/end time alignment, and schedule consistency
  • PTO Data: Paid time off tracking, leave balances, and absence data (available if your account is leveraging the HRIS Integration)

Frequently asked questions

What if I disconnect Claude from ActivTrak?

You can reconnect at any time by following the Configure the MCP Connector section. Your ActivTrak Admin can also revoke your connection from the MCP Access page.

Can I see data from other employees that I don't have permission to view?

No. ActivTrak enforces your Viewable Groups permissions. You can only see data you are authorized to see in ActivTrak.

Is there a cost to use ActivTrak MCP during the Beta period?

No, Beta access is free. Once the Beta period ends, ActivTrak MCP will remain available at no additional cost for customers on eligible ActivTrak Product Packages.

What happens if I stop using ActivTrak MCP?

Simply disconnect Claude from ActivTrak via the MCP Access page in the ActivTrak App. You can reconnect anytime by following the steps in this setup guide.
