Organization Insights gives executives and senior leaders a high-level view of how teams are performing and how balanced their workloads are. It draws on historical trends instead of single-day events, so you can compare teams against their goals, find workload imbalances and see where managers need support. Use it to spot signs of burnout or unused capacity early and to decide where to invest, restructure or reallocate resources.
Organization Insights is available with the following ActivTrak packages: Productivity Optimization and the Workforce Management + Productivity Optimization Bundle.
To access Organization Insights, navigate to Executive Summaries > Organization Insights. Admins and Configurators have access by default. Admins can manage access for other User Roles on the Role Access page (Settings > Access > Role Access).
This dashboard is powered by Insights, which presents processed analytics with historical context. Data refreshes on a regular schedule rather than in real time, so it's best for spotting trends and comparing activity over time. For a complete explanation of how Live Data differs from Insights, see Understanding Live Data and Insights.

Glossary: Organization Insights
For a deep dive into each of the terms and metrics found in Organization Insights, check out the supporting Glossary.
Requirements
Before diving in, make sure the following are configured. Taking time to set these up correctly will ensure your data is accurate and your insights are meaningful.
- Groups (or Teams): Organize your users into teams or business units that reflect how your organization actually operates. Without well-structured groups, it's difficult to pinpoint productivity gaps or understand their impact at the department or team level. If you haven't set up groups yet, or need to update your existing ones, start with Group management before moving forward.
- Goals: Define the productivity benchmarks your groups are measured against. Setting goals at the group level lets you track performance trends, spot areas of concern and quantify the gap between current and target productivity. Goals should reflect realistic expectations for each team's role and work patterns. Set productivity goals before digging into your data.

Productivity Goal Achievement
Use this section to see which teams are meeting or beating their productivity goals and which are falling short. Ask the highest-performing teams to share best practices, and look for teams that may need coaching or support.
Highest Teams & Lowest Teams
Two tables show the three highest and three lowest teams relative to their productivity goal. Results are based on Productive Hrs/Day for the Activity Period, and each team's result is shown as % Goal. Only teams below 100% goal achievement appear in the Lowest Teams report, so you may see fewer than three teams there.
Read this report next to Stats by Team. A team that misses its goal while working long hours needs a different response than a team that misses its goal and has spare capacity.
Biggest Increase in Productivity
This report ranks teams by the difference and % Chg in Productive Hrs/Day between the Activity Period and the Comparison Period. Use the Activity Period and Comparison Period filters to gauge trends in team performance. Knowing which teams improved most can help you pinpoint the work habits and organizational changes that drove success, such as manager coaching, added headcount or a shift in work model.
Biggest Decline in Productivity
This report uses the same comparison as Biggest Increase in Productivity and shows the teams whose Productive Hrs/Day dropped the most, along with % Chg. Use it to find teams that may need coaching or support. Work with team managers to diagnose the issues, identify possible fixes and track progress over the coming months to see the impact of the changes.
Team Utilization
Use this section to find teams at high risk of burnout and teams with untapped potential. The reports can help you prioritize headcount allocation and spot chances to restructure teams for a more balanced workload.
Note: By default, an employee is considered Overutilized or Underutilized if their Productive Hrs/Day are at least 20% higher or lower, respectively, than their productivity goal. This is the default utilization threshold, and you can adjust it on the Insights Configuration page.
Overutilized Teams & Underutilized Teams
Two tables show the percentage of Overutilized and Underutilized teams during the Activity Period. The top table shows the teams with the highest percentage of overutilized members, which may indicate burnout risk, and the bottom table shows the teams with the highest percentage of underutilized members, which may signal untapped potential.
If one of these lists is empty, none of the teams selected in the Team filter had overutilized or underutilized employees for that period.
Biggest Increase in Utilization
This report is based on the difference in a team's % Healthy Days between the Activity Period and the Comparison Period. It also includes % Chg. Higher % Healthy Days (days when team members were neither overutilized nor underutilized) indicate healthier work habits and a more evenly distributed workload.
Look for what may have contributed to the improvement, such as manager coaching, a recent increase in team staffing or a realignment of workload within or between teams. Then consider how to repeat those changes in other parts of the organization.
Biggest Decrease in Utilization
This report uses the same comparison and shows the teams with the largest decrease in % Healthy Days. It also includes % Chg. A decrease points to growing workload imbalance, with more team members becoming overutilized or underutilized. Use it to flag teams that may need support, then check the Stats by Team report to find the specific problem area.
Productivity & Utilization KPIs
Use this section for a snapshot of productivity and utilization across teams. It helps you assess organizational health and make hiring and capacity planning decisions.
Avg Productive Hrs/Day
This KPI shows the Avg Productive Hrs/Day for all teams selected in the Team filter.
Productive Hrs/Day by Location
This report compares productivity across Remote, Office, and Office/Remote environments. Use it to check whether Productive Hrs/Day differs by work environment before you set or change workplace policies.
Utilization Level
Utilization Level shows the Users % across your organization who are Overutilized, Underutilized, and Healthy during the selected time frame. Use it as a general gauge of organizational health. A large overutilized share points to widespread burnout risk, and a large underutilized share points to capacity you aren't using. For the breakdown by team, see the Stats by Team report.
Stats by Team
The Stats by Team report compares productivity and utilization across teams, so you can see how the two metrics connect instead of reading them in isolation. The table includes Prod. Goals Achieved, Team Workload, Productive Hrs/Day, Goal (Productive Hrs/Day), % Goal, Overutilized, Healthy, and Underutilized.
The Team Workload column shows each team's overall health as either High, Optimal, Low or Varied. To sustain productivity, teams need to meet their goals while maintaining healthy work habits. A productive team that stays overutilized probably won't stay productive for long. Sooner or later, burnout can lead to a poor employee experience and attrition.
To look at the work habits behind a team's numbers, click the three-dot menu (⋮) to the right of the team's name in the report. Workload Balance has more detail on utilization levels, and Focus & Collaboration has more productivity insights.

Practical applications
Spotting burnout risk early
Check Team Utilization for teams with a high percentage of overutilized members, then open Stats by Team to see whether those teams are also hitting their goals. A team with a High Team Workload that meets every goal may look healthy today, but long hours rarely last. Talk to the manager before the numbers turn into attrition.
Prioritizing support for struggling teams
Start with the Lowest Teams report in Productivity Goal Achievement, then review both the Biggest Decline in Productivity and the Biggest Decrease in Utilization. Work with each team's manager to diagnose the issue, agree on a fix and track progress over the next few months.
Sharing what works
Use the Biggest Increase in Productivity and the Biggest Increase in Utilization reports to find teams that improved. Ask their managers what changed, whether it was coaching, added headcount or a new work model and consider repeating it in other teams.
Informing headcount and capacity decisions
Underutilized teams in Team Utilization and the Stats by Team show where capacity may be available before you add headcount. The Productive Hrs/Day by Location report adds context for workplace policy decisions.
Frequently asked questions
How does ActivTrak decide whether someone is overutilized or underutilized?
By default, an employee is Overutilized or Underutilized when their Productive Hrs/Day are at least 20% above or below their productivity goal. You can change this threshold on the Insights Configuration page.
Why do I see fewer than three teams in the Lowest Teams report?
Only teams below 100% goal achievement appear in the Lowest Teams report. If fewer than three teams are below goal, you see fewer than three.
Why does Stats by Team show fewer teams than I selected?
The Show N Teams filter limits how many teams appear in the report. Increase the number, or use the Filter Teams filter to choose whether the report shows the highest- or lowest-productivity teams.
