Glossary: ActivTrak for BI - Schedule Adherence

This glossary covers the key metrics and terminology used in ActivTrak for BI - Schedule Adherence. Use it to interpret schedule adherence patterns and have more productive conversations about attendance and coverage with your team.

% of Days Achieved Productivity Goal

Definition
The percentage of Active Days during the selected time period when a user's Productive Hrs/Day met or exceeded the configured productivity goal.

 

Calculation
(Count of days where Productive Hrs/Day >= Productivity Goal / Active Days) × 100%

 

Example
A user has a Productivity Goal of 7.5 hrs/day and is active for 20 days during the selected period. On 14 of those days, their total Productive Hrs/Day met or exceeded their goal. Their % of Days Achieved Productivity Goal = 14 / 20 × 100% = 70%.

% of Days Achieved Productivity Goal during Schedule

Definition
The percentage of Active Days during the selected time period when a user's Productive Hrs/Day (Scheduled) met or exceeded the configured productivity goal.

 

Calculation
(Count of days where Productive Hrs/Day (Scheduled) >= Productivity Goal / Active Days) × 100%

 

Example
A user has a Productivity Goal of 7.5 hrs/day and is active for 20 days during the selected period. On 9 of those days, their Productive Hrs/Day (Scheduled) alone met or exceeded their goal. Their % of Days Achieved Productivity Goal during Schedule = 9 / 20 × 100% = 45%.

% of Days Complying Schedule

Definition
The percentage of Active Days during the selected time period when a user did not Start Late or End Early.

 

Calculation
(Days Complying Schedule / Active Days) × 100%

 

Example
A user has a Productivity Goal of 7.5 hrs/day and is active for 20 days during the selected period. On 16 days, they both started on time and ended on time. Their % of Days Complying Schedule = 16 / 20 × 100% = 80%.

% of Days Ending Early

Definition
The percentage of Active Days during the selected time period when a user's last activity occurred before their scheduled end time.

 

Calculation
(Days Ending Early / Active Days) × 100%

 

Example
A user has a Productivity Goal of 7.5 hrs/day and is active for 20 days during the selected period. On 3 days their last recorded activity occurred before their scheduled end time. Their % of Days Ending Early = 3 / 20 × 100% = 15%.

% of Days Starting Late

Definition
The percentage of Active Days during the selected time period when a user's first activity occurred after their scheduled start time.

 

Calculation
(Days Starting Late / Active Days) × 100%

 

Example
A user has a Productivity Goal of 7.5 hrs/day and is active for 20 days during the selected period. On 5 days their first recorded activity occurred after their scheduled start time. Their % of Days Starting Late = 5 / 20 × 100% = 25%.

Definition
The percentage of Non-flex Schedule Users where their Productive Hrs/Day met or exceeded their productivity goal during scheduled work hours

 

Calculation
(Users meeting the Productivity Goal during Schedule / Non-flex Schedule Users) × 100%

 

Example
Of 102 Non-flex Schedule Users in the selected time period, only 1 user's Productive Hrs/Day (Scheduled) met or exceeded the 7.5-hour Productivity Goal. % of Users Achieved Productivity Goal during Schedule = 1 / 102 × 100% = 1%.

Definition
The percentage of Non-flex Schedule Users who achieved both the Shift Compliance Goal and the Productivity Goal during scheduled hours.

 

Calculation
(Users meeting both the Shift Compliance Goal and the Productivity Goal during Schedule / Non-flex Schedule Users) × 100%

 

Example
Of 72 Non-flex Schedule Users, only 11 achieved the Shift Compliance Goal, and only 1 achieved the Productivity Goal during Schedule. Because both conditions must be met simultaneously, 0 users cleared both thresholds. % of Users Achieved Schedule Adherence Goal = 0 / 72 × 100% = 0%.

Also known as Users (%) Achieved Shift Compliance Goal, Users Achieved Shift Compliance Goal, Achieved Shift Compl. Goal

 

Definition
The percentage of Non-flex Schedule Users whose number of compliant shifts (started and ended on time) in the selected time period met or exceeded the Shift Compliance Goal Threshold.

 

Calculation
(Users meeting the Shift Compliance Goal / Non-flex Schedule Users) × 100%

 

Example
Of 72 non-flex users, 11 had a Shifts Comply Schedule rate at or above the 80% Shift Compliance Goal Threshold. % of Users Achieved Shift Compliance Goal = 11 / 72 × 100% = 15%.

Definition
The percentage of Non-flex Schedule Users who complied with their schedule on a given day — meaning they started late, ended early, or both.

 

Calculation
(Count of Non-flex Schedule Users with a compliant shift on the given date / Total Non-flex Schedule Users on that date) × 100%

 

Example
On Tuesday 5/27/2026, 58 out of 100 Non-flex Schedule Users started on time and ended on time. % of Users Complying with Schedule by Date = 58 / 100 × 100% = 58%.

% of Users Not Complying with Schedule by Date

Definition
The percentage of Non-flex Schedule Users who did not comply with their schedule on a given day — meaning they started late, ended early, or both.

 

Calculation
100% − % of Users Complying with Schedule by Date

 

Example
On Tuesday 5/27/2026, 42 out of 100 Non-flex Schedule Users started on time and ended on time. 100% − 58% = 42%.

Absence Days

Definition
The number of scheduled workdays where no productive activity was logged and no approved Time Off exists.

 

Example
If an employee is scheduled Monday through Friday but logs no productive activity on Tuesday and Thursday, and they don't have approved Time Off for those days, their Absence Days = 2.

Active Days

Definition
The total number of days within the selected time period where a user logs any amount of productive time on a scheduled workday.

 

Example
If a user has productive activity on 18 out of 20 scheduled workdays in the selected period, their Active Days = 18.

Definition
The total number of active users during the selected time period.

 

Example
If 67 Flex Users and 72 Non-flex Schedule Users were active in the selected time period, All Users = 139.

Avg. Early Exit Mins.

Definition
The average number of minutes a user ended their shift early, calculated across the days they ended early.

 

Calculation
Total early exit minutes / Count of days ending early

 

Example
If a user ended their shift early on 3 days, leaving 120, 90, and 60 minutes before their scheduled end time, their Avg. Early Exit Mins. = 90.

Avg. End of Day

Also known as Avg End of Day

 

Definition
The average time of day that a user last registered activity, computed only across Active Days and shown as a time in 24-hour format.

 

Example
If a user's last activity averaged 6:21 PM across their active days, Avg. End of Day = 18:21.

Avg. Late Mins.

Definition
The average number of minutes a user started their shift late, calculated only across the days they started late.

 

Calculation
Total late minutes / Count of days starting late

 

Example
If a user was late to their shift on 4 days, arriving 10, 15, 20, and 35 minutes after their scheduled start time, their Avg. Late Mins. = 20.

Avg. Start of Day

Also known as Avg Start of Day

 

Definition
The average time of day that a user first registered activity, computed only across Active Days and shown as a time in 24-hour format.

 

Example
If a user's first activity averaged 8:26 AM across their active days, Avg. Start of Day = 8:26.

Breaks/Day

Definition
The average number of breaks per Active Day.

 

Calculation
Total breaks / Active Days

 

Example
If a team logged 80 total breaks across 20 Active Days, their Breaks/Day = 4.

Days Complying Schedule

Definition
The number of days within the selected time period where a user both started and ended on time.

 

Calculation
Count of days where first activity time <= scheduled start time and last activity time >= scheduled end time

 

Example
If an employee is scheduled 9:00 AM – 5:00 PM and starts and ends on time on 3 out of 5 days, their Days Complying Schedule = 3.

Days Ending Early

Also known as Ended Shift Early

 

Definition
The number of days where a user's last activity occurred before their scheduled end time.

 

Example
If an employee is scheduled to work until 5:00 PM but their last recorded activity was at 4:30 PM on 3 days during the selected period, their Days Ending Early = 3.

Days Missed Productivity Goal

Definition
The number of days a user's productive hours fell short of their Productivity Goal. The scope (during scheduled hours or all hours) is controlled by the toggle in the Missed Productivity Goal table.

 

Example
If an employee has a 7.5 hrs/day productivity goal and falls short of it on 4 out of 5 Active Days during the week, their Days Missed Productivity Goal = 4.

Days Starting Late

Also known as Late to Shift

 

Definition
The number of days where a user's first activity occurred after their scheduled start time.

 

Example
If an employee is scheduled to start at 9:00 AM but their first activity was recorded at 9:15 AM on 5 days during the selected period, their Days Starting Late = 5.

Ended Shift Early At Least Once

Definition
The number of Non-flex Schedule Users who ended their shift early at least once during the selected week.

 

Example
If 25 out of 102 Non-flex Schedule Users ended their shift early on at least one day during the week, Ended Shift Early At Least Once = 25.

Flex Schedule

Also known as Flexible Schedule

 

Definition
A schedule type where the user has assigned working days but no specific start or end times. Compliance metrics that rely on start/end times do not apply to Flex Users. Learn more in our article, Creating Schedules.

 

Example
A user scheduled to work Monday through Friday with flexible hours (instead of fixed start and end times).

Flex Users

Definition
The count of users with a Flex Schedule who were active during the selected time period.

 

Example
If 67 users on Flex Schedules had at least one scheduled workday during the period, Flex Users = 67.

Late to Shift At Least Once

Definition
The number of Non-flex Schedule Users who started their shift late at least once during the selected week.

 

Example
If 24 out of 102 Non-flex Schedule Users started their shift late on at least one day during the week, Late to Shift At Least Once = 24.

Minutes/Break

Definition
The average duration in minutes per break.

 

Calculation
Total break duration (minutes) / Total breaks

 

Example
If a team logged 2,400 total break minutes across 80 breaks, their Minutes/Break = 30.

Non-Business Hrs/Day

Definition
The average number of hours per Active Day that a user spent engaging in unproductive or undefined activities.

Non-flex Schedule

Also known as Fixed Schedule

 

Definition
A schedule type where the user has assigned working days and specific start and end times. Shift compliance and adherence metrics apply only to Non-flex Schedule Users. Learn more in our article, Creating Schedules.

 

Example
A user scheduled to work Monday through Friday from 9:00 AM to 5:00 PM.

Non-flex Schedule Users

Definition
The count of users with a Non-flex Schedule who were active during the selected time period.

 

Example
If 72 users on Non-flex Schedules had at least one scheduled workday during the period, Non-flex Schedule Users = 72.

Prod. During Schedule

Definition
The percentage of Active Days a user met their productivity goal within their scheduled hours.

 

Calculation

Example
If a user averaged 5.5 Productive Hrs/Day (Scheduled) per day against a 7.5 hrs/day goal, their Goal Achievement during Schedule = (5.5 / 7.5) × 100% = 73%.

Prod. Goal

Definition

Example

Productive Goal Gap Hrs/Day

Definition
The average number of Productive Hrs/Day that a user fell short of their Productivity Goal, calculated only across the days they missed the goal.

 

Example
If a user missed their 7.5 Hrs/Day productivity goal on 4 days, averaging 5.6, 5.4, 6.0, and 5.9 productive hours on those days, their Productive Goal Gap Hrs/Day = 1.9 (average of 1.9, 2.1, 1.5, and 1.6 hours short of goal).

Productive Hrs/Day

Definition
The average productive hours per day for the selected time period, including both scheduled and non-scheduled hours.

 

Calculation
Productive hours / Active Days

 

Example
If a user had 134 productive hours across 20 Active Days, their Productive Hrs/Day = 134 / 20 = 6.7.

Productive Hrs/Day (Non-Scheduled)

Definition
The average productive hours per day that a user spends outside of their scheduled work hours.

 

Calculation
Total productive hours outside scheduled time / Active Days

 

Example
If a user worked 28 productive hours outside their schedule across 20 Active Days, their Productive Hrs/Day (Non-Scheduled) = 1.4.

Productive Hrs/Day (Scheduled)

Definition
The average productive hours per day that a user spends within their work schedule.

 

Calculation

Example
If a user had 110 productive hours during scheduled time across 20 Active Days, their Productive Hrs/Day (Scheduled) = 5.5.

Productive Hrs/Day (Time Off Days)

Definition
Average productive hours on days approved for Time Off. Captures productive activity on those days without affecting other productivity averages, giving you a complete picture of work patterns.

 

Calculation
Total productive hours on Time Off days / Time Off Days

 

Example
If an employee has approved Time Off on Monday and Wednesday but logs 2 productive hours on Monday and 3 on Wednesday, their Productive Hrs/Day (Time Off Days) = 2.5.

Schedule (Days)

Definition
The workdays assigned to a user's schedule.

  • M-F for Monday through Friday schedules
  • Individual days separated by commas for custom schedules (e.g., M, Tu, Th, Sa)

 

Example
A full-time employee might show "M-F" while a part-time employee might show "M, W, F".

Schedule (Hours)

Definition
The designated start and end times for a user's work schedule, formatted as hh:mm AM/PM – hh:mm AM/PM (e.g., 9:00 AM – 5:00 PM). For Flex Schedules, this field displays "flexible hours."

 

Example
A standard office worker might show "9:00 AM – 5:00 PM," while a flexible schedule user will show "flexible hours."

Shift Compliance Goal

Definition
A user-level metric indicating whether an employee's Shift Compliance Ratio meets or exceeds the configured Shift Compliance Goal Threshold. By default, this threshold is set to 80%. The Shift Compliance Goal Threshold can be configured at the top of each report page.

 

Example
If the threshold is 80% and a user complied with their schedule on 85% of their shifts, they achieved the Shift Compliance Goal.

Shift Compliance Goal Threshold

Definition
A configurable parameter that sets a standard a user must achieve to meet the Shift Compliance Goal. The Shift Compliance Goal Threshold can be configured at the top of each report page.

Shifts Comply Schedule

Also known as Shifts (%) Comply Schedule, Comply Schedule

 

Definition
The percentage of schedules where a user started work no later than the scheduled start time and ended work no earlier than the scheduled end time.

 

Calculation
(Count of shifts where start time <= scheduled start time and end time >= scheduled end time / Active Days) × 100%

 

Example
If 6,255 out of 12,642 shifts were fully compliant, Shifts Comply Schedule = 49%.

Shifts End Early

Also known as Shifts (%) End Early, End Early

 

Definition
The percentage of Active Days where a user's last activity occurred before their scheduled end time.

 

Calculation
(Count of shifts where last activity time < scheduled end time / Active Days) × 100%

 

Example
If 3,518 out of 12,642 shifts ended before the scheduled end time, Shifts End Early = 28%.

Shifts Start Late

Also known as Shifts (%) Start Late, Start Late

 

Definition
The percentage of Active Days where a user's first activity began after their scheduled start time.

 

Calculation
(Count of shifts where first activity time > scheduled start time / Active Days) × 100%

 

Example
If 3,050 out of 12,642 shifts started after the scheduled start time, Shifts Start Late = 24%.

Team

Definition
An organizational unit in ActivTrak that groups users together based on shared characteristics such as department, function, reporting structure, or project assignment. Teams (also known as Groups) serve as a primary filter for analyzing schedule adherence data and enable comparative analysis across different groups within an organization.

Teams in ActivTrak:

  • Created and managed by administrators
  • Allow for hierarchical structures (teams within teams)
  • Serve as filters for dashboards and reports
  • Enable team-level goal setting and benchmarking
  • Provide context for productivity comparisons

Time Off Days

Definition
The number of full or partial days with approved Time Off. This helps you understand planned absence patterns across your workforce.

 

Example
If an employee has approved time off for all day Monday, half of Tuesday, and all day Friday during the selected period, their Time Off Days = 3.

Time Off Hrs

Definition
The total duration of approved Time Off in hours. This provides granular insight into time-off utilization.

 

Calculation
Sum of all approved Time Off hours during the selected time period

 

Example
If an employee has approved time off for a full 8-hour workday on Monday and a 4-hour half day on Wednesday, their Time Off Hrs = 12.

Users

Individual employees or contractors whose digital activity is being tracked through the ActivTrak agent software. In ActivTrak, a "user" typically corresponds to a specific person whose work habits, productivity, and application usage are monitored and analyzed within the platform.


Key aspects of users in ActivTrak:

  • Each user typically requires one license in the ActivTrak system
  • Users are organized into teams for analysis and reporting
  • User data forms the foundation for all productivity metrics
  • Users can be assigned specific productivity benchmarks and goals
  • User privacy settings can be configured according to organizational policies

Work Time Hrs

Definition
Total time contributing to business objectives, calculated as the sum of Productive Time and Offline Meetings. This represents a user's complete work contribution, including both digital and non-digital activities.

 

Calculation

Productive Time + Offline Meetings

 

Example

A worker's morning might include responding to emails (Productive Time), attending a Zoom call (also Productive Time), then walking to a conference room for a strategy meeting (Offline Meetings). All of these activities contribute to Work Time.
