You have multiple ways to get answers from your ActivTrak data: dashboards in the ActivTrak App, export data, subscribe to a dashboard, build dashboards in a BI tool with ActivConnect, or use conversational AI with Work Advisor or ActivTrak MCP. Your package determines what you can use.

Read dashboards in the ActivTrak App
Start here if you know which dashboard answers your question, or if you want to explore. Every paid package includes the app, but the dashboard availability differs by package.
Dashboards run on one of two data types:
- Live Data dashboards update within about two to five minutes of activity. Use them to see what's happening now. An icon to the right of the page title marks them.
- Insights dashboards refresh once a day. Use them for trends, team comparisons and planning.

Export your data
Export when you need data outside ActivTrak, such as for a one-time analysis or to share with someone without an ActivTrak login. The steps differ for Live Data and Insights dashboards. See Export and Manage Data for step-by-step instructions.
Export limits
- You can export one Live Data dashboard at a time.
- ActivTrak caps exports at 10,000 rows on Work Activity Tracking and 50,000 rows on Workforce Management, Productivity Optimization, and the Workforce Management + Productivity Optimization Bundle.
- For dashboards that aggregate data, such as Application Usage, set the time frame to one month or less and pick one group of 25 or fewer members. For the Activity Log and Daily Work Metrics, keep the range to a few days.
- Users with the Viewer role can't export from the ActivTrak App.
If you regularly export data for more than 25 employees or over longer periods, use ActivConnect instead.
Subscribe to a dashboard
Subscribe to a dashboard to receive it in your inbox on a schedule instead of opening the ActivTrak App. Email subscriptions are available for Insights dashboards with select product packages. See Insights Subscriptions for step-by-step instructions.
Subscriptions work well for weekly team check-ins, regular trend reviews, and planning meetings that need the latest numbers. If you need the data in a file or want to share it with someone without an ActivTrak login, export it instead.
Build BI dashboards with ActivConnect
ActivConnect is an add-on for any paid package. It gives you a private database of your ActivTrak data in Google BigQuery, refreshed every 12 hours. Query it with SQL or connect it to a BI tool.
It also comes with pre-built report templates, including Schedule Adherence, Headcount Planning and Timesheet Reconciliation. Most are built for Microsoft Power BI, and a few also work with Tableau and Looker Studio. See ActivTrak for BI Reporting for the full list.
Choose ActivConnect when you want:
- Permanent dashboards in a BI tool like Power BI or Tableau
- To export or analyze data for more than 25 employees or over longer time periods
- ActivTrak data alongside data from other systems
If your package doesn't include Work Advisor or ActivTrak MCP, ActivConnect is a great way for you to analyze your data beyond what the app and exports offer.
To add ActivConnect to your product package, contact our Support team. You need the same number of ActivConnect licenses as ActivTrak licenses. ActivTrak sets up your data, and you can start using it within about a day.

Ask in plain language with Work Advisor
Use Work Advisor, available in the ActivTrak App, to answer questions about staffing, utilization, PTO and attendance, schedule adherence and technology usage. Work Advisor is available with select product packages.
Answers are advisory. Check important numbers against the matching dashboard before you act on them. ActivTrak's calculation logic respects Viewable Groups, so you only see data you already have permission to see.

Connect to the ActivTrak MCP
ActivTrak MCP connects your own AI assistant to ActivTrak data. Claude, ChatGPT, and Copilot are currently supported. Use it to build charts and run trend analyses, or when the answer needs data from other connected systems such as Salesforce, Jira, or your HRIS.
