Focus & Collaboration

Focus & Collaboration helps managers assess team productivity by tracking performance against established goals for productive time, focused work, and collaboration activities. The dashboard provides insights into how teams spend their time, identifies interruptions and multitasking patterns, and highlights which team members may need coaching to meet their efficiency targets. This tool enables leaders to optimize workflows, reduce distractions, and improve overall team performance through data-driven interventions.

To access Focus & Collaboration, navigate to Productivity Optimization > Focus & Collaboration.

 

This dashboard utilizes Insights

This dashboard is powered by ActivTrak's Insights data, which processes and analyzes historical information with daily updates. For a complete explanation of how Insights differs from Live Data, see Understanding Live Data and Insights.

Note: Users' access to dashboards may vary based on account configuration. ActivTrak Admins can adjust access settings by assigning user roles and permissions.

Requirements

Before diving in, make sure the following are configured. Taking time to set these up correctly will ensure your data is accurate and your insights are meaningful.

  1. Groups (or Teams): Organize your users into teams or business units that reflect how your organization actually operates. Without well-structured groups, it's difficult to pinpoint productivity gaps or understand their impact at the department or team level. If you haven't set up groups yet — or need to update your existing ones — start with Group management before moving forward.
  2. Goals: Define the productivity benchmarks your groups are measured against. Setting goals at the group level allows you to track performance trends, identify areas of concern, and quantify the gap between current and target productivity. Goals should reflect realistic expectations for each team's role and work patterns. Make sure to set productivity goals before digging into your data.

Team tab

Use the Team tab to assess team efficiency by tracking performance against Productive, Focused and Collaboration goals.

Screen Time Breakdown

See a breakdown of Screen Time. Non-business Hrs/Day include unproductive and undefined activities. An Admin can classify activities at the organization or team level. Learn more.

Productive Time Breakdown

Understand how your team's productive time is divided between focused work, collaborative activities, and multitasking. Multitasking is often caused by app notifications, inefficient processes/technology and/or training gaps.

Progress Against Goals (Hrs/Day)

Track progress vs. team goals on:

Productive time: Activity on company-designated productive applications.

Focused time: Single-task activities excluding collaboration (i.e., chat/messaging) and multitasking (i.e., attention shifts or interruptions).

Collaboration time: Activities involving other people (i.e., chat/messaging).

Screen Time Breakdown (Hrs/Day)

See a breakdown of how Screen Time was spent.

Uninterrupted Work Sessions

See how many consecutive minutes team members spent on productive, focused work.

Note: Studies suggest you need a minimum of 20 minutes of uninterrupted focus to get the concentration level needed to produce high-quality work.

Productivity Breakdown Trend

Compare the team's Focused, Collaboration, and Multitasking Hrs/Day trends against their goals and averages.

Adjust the trend chart granularity to Day, Week, Month or Year by clicking on "More" in the filters at the top of the dashboard.

Users Missing Productivity Goals

See users who are missing their productivity time goals. This chart displays up to 5 users. Click the "See all users" icon to the right to view goal attainment for the rest of your team.

If no users are missing productivity goals, no data will be displayed here.

Click on a user's name to drill into their Personal Insights or Technology Utilization.

See users who are missing their focused time goals. This chart displays up to 5 users. Click the "See all users" icon to the right to view goal attainment for the rest of your team.

If no users are missing focused goals, no data will be displayed here.

Users tab

Use the Users tab to compare each user's metrics with their peers. Select a team or user in the filter section at the top of the page to narrow the analysis. 

Progress against Goals

Get a breakdown of each user's progress vs. goals for Screen Time Hrs/Day, Productive Hrs/Day, Focused Hrs/Day, and Collaboration Hrs/Day. 

Click on a user's name to drill into their Personal Insights or Technology Utilization.

Top Non-Business Apps/Sites

See the top unproductive or undefined apps and sites affecting team members' productive time.

Note: If this section is blank, it is likely because your Admin has chosen to hide these details.
