Track users
Use Track users to start collecting user activity data. You can manage tracking status for individual users or in bulk:
For a single user
- Find the user using the search bar or applying filters
- Click directly into the Tracking Status cell of the user's row and select Tracked
- Alternatively, click the three-dot menu on the right side of the user's row and select Track user
- Confirm your selection in the popup window by clicking Track users
For multiple users
- Set the Tracking status filter to Untracked to narrow down the list of users to those who are not currently tracked
- Select multiple users using the checkboxes to the left of the table
- Click the Track users button at the top of the table
- Confirm your selection in the popup window by clicking Track users
Important:
- All identifiers for the Tracked User will be set to Track; they will no longer appear in the Do Not Track tab.
- A user with no historical data will begin consuming a license once they start reporting data.
- A user with existing historical data will continue to utilize the license(s) assigned to them; this will maintain your current license usage.
Untrack users & retain data
Use the Untrack users & retain data action to stop tracking activity while retaining historical data for reporting and compliance. When you untrack a user, all activity data collection stops immediately, and the user's identifiers are automatically added to the Do Not Track tab, ensuring they won't be tracked even if they log in with those credentials again.
You can manage tracking status for individual users or in bulk:
For a single user
- Find the user using the search bar or applying filters
- Click directly into the Tracking Status cell of the user's row and select Untracked
- Alternatively, click the three-dot menu on the right side of the user's row and select Untrack user & retain data
- Confirm your selection in the popup window by clicking Untrack & retain data
For multiple users
- Utilize the Tracking status filter, set to Tracked Users, to narrow down the list of users to those who are currently tracked
- Select multiple users using the checkboxes to the left of the table
- Click the Untrack users & retain data button at the top of the table
- Confirm your selection in the popup window by clicking Untrack & retain data
Important:
- All identifiers will be set to Do Not Track; they will appear in the Do Not Track tab.
- A user with retained historical data will continue to consume a license, maintaining your current license usage.
Common use cases:
- Employee leaves the organization, but you need to maintain their historical data for records
- Contractor engagement ends, but you want to keep activity data for the project
- Executive requests to be untracked while preserving past productivity metrics
- Compliance requirements mandate data retention, but not ongoing tracking
