User identifiers (email or employee ID) must match exactly between the HR system and ActivTrak for holiday assignments to resolve correctly.

Feature description

  • Company Holidays lets admins mark company-recognized days off directly in ActivTrak and assign them to one or more user groups. Once assigned, those dates are automatically excluded from time-off calculations, productivity averages, and capacity metrics, closing a gap left by HRIS systems, which sync individual approved time off (vacation, sick leave) but typically store company holidays centrally by region rather than per employee.

 

Key capabilities

  • Flexible entry: Add a single holiday through a form, or bulk import multiple holidays and group assignments via CSV.
  • Group-based assignment: Assign holidays to user groups rather than individual users; group membership stays dynamic, so new hires and transfers automatically pick up (or drop) the correct holidays going forward.
  • Native reporting integration: Company Holidays are stored as a distinct Time Off type and flow into the same pipeline as HRIS-synced PTO, appearing in Absence & Time Off views and correctly excluded from Productivity Metrics, Active Days, and Capacity Planning calculations.
  • Safe, additive CSV re-imports: Re-uploading a CSV is non-destructive. Existing holidays (matched on Holiday Name + Start Date) are recognized and skipped rather than flagged as errors, while new holidays or group assignments in the file are added.
  • Full edit control via UI: Holiday name, dates, and group assignments can be updated at any time through the Holidays page; CSV import remains additive-only and cannot rename, edit, or remove groups from existing holidays.

 

Use cases

  • Multi-regional organizations (for example, US and UK offices) can create region-specific user groups and upload a single CSV assigning the correct national and regional holidays to each group, avoiding a parallel holiday calendar. Accounts can also perform annual or mid-year updates, such as adding next year's Thanksgiving date, by re-importing an updated CSV: previously imported holidays are automatically skipped, and only new entries are added.

Known limitations

  • No recurring-holiday engine: dates that repeat on a shifting schedule (for example, Thanksgiving, the 4th Thursday of November) must be pre-populated for each specific year and updated annually.
    Holiday assignments are inclusive only. There is no way to exclude a specific user from a holiday assigned to their group; you must manage exclusions by adjusting group membership.
  • CSV import is additive only. It can create new holidays and add group assignments, but cannot rename a holiday, change its dates, or remove a group assignment. Those changes require the UI.
  • Reporting for holiday dates that have already passed is not recalculated retroactively if group membership changes afterward. Membership changes only affect upcoming holiday dates.
