Organization Overview

Organization Overview (Home > Organization Overview) simplifies management for remote or hybrid organizations. It combines real-time activity data with historical trends to give leaders a complete picture of how their teams are performing—all in one place.

Organization Overview serves as your leadership dashboard, combining today's Live Data with historical goal and workload data from Insights. It's designed to help you quickly answer common questions like:

  • What percent of the organization is working right now?
  • How many hours of productivity have we achieved today? How does it compare to our goals?
  • Are engagement and productivity trending up or down over the last 30 days?
  • Which teams are at risk of burnout, disengagement or misalignment?

 

This dashboard utilizes Live Data

This dashboard is powered by ActivTrak's Live Data, which shows real-time information as it happens with updates every 2-5 minutes. For a complete explanation of how Live Data differs from Insights, see Understanding Live Data and Insights.

Virtual Office Visibility (Today)

The Virtual Office Visibility section gives you a real-time snapshot of your organization's activity and productivity for the current day. This is where you go when you need to know what's happening right now—who's online, how productive teams are being, and whether you're on track to meet today's goals.

Above the cards, you'll see the current average productive hours metric for your entire organization. This number updates throughout the day as more activity data comes in. Click the   symbol to the right of Virtual Office Visibility (Today) to open Real-time Visibility for additional live productivity and availability insights.

Note: Data displayed is based on your Viewable Groups. You can refresh this data by refreshing the page.

Activity

The Activity card shows who in your organization is either Active, Passive, or Inactive at any given time throughout the day.

 

Users who are Active today and Inactive today are shown in the circle chart on the left. The percentage in the center represents the number of "users active today," divided by the total number of users who have been active in the last 30 days. This gives you a sense of overall participation and engagement. Hover over the gray or blue areas to see how many users are either Active or Inactive today.

The chart also includes a comparison to help you determine whether today's activity is typical. It compares current activity to the average number of active users on the same day of the week and at the same time over the last 30 days. For example, if you're looking at this on a Tuesday at 3 PM, you'll see how today's 3 PM activity compares to the average from the previous four Tuesdays at 3 PM.

Click View today's activity below the circle chart to see activity broken down by team. Select any team to open the Team Management dashboard.

 

Live activity status displays the percentage of users who are Active now, Passive now, and Inactive now. This information is particularly helpful for understanding current availability when you need to know who's available for urgent requests or meetings. Hover over any icon to see the user count for that activity type. Click an icon to view a breakdown by team, then select a team to open the Team Management dashboard.

The last data refresh date and time appear in the bottom right corner of the card.

Productivity

This card shows you how your organization is tracking toward its productivity goal for the current day, plus a week's worth of context to help you interpret today's performance. The last data refresh date and time appear in the bottom right corner of the card.

 

The metric at the top displays your organization's progress toward today's productivity goal (goal achievement), expressed as a percentage. Like the activity card, it includes a comparison showing how today's productivity goal attainment compares to the average at this same time on the same day of the week over the last 30 days. Select plans allow you to customize goals at the team or account level. 

Click View goal achievement to see a breakdown by team. Select any team to open the Team Management dashboard.

 

The trend chart shows the previous seven days of productivity goal achievement (excluding today's data). This historical context is crucial for understanding today's performance.

Example: If productivity has been extraordinarily high the past few days because of a time-sensitive project, that may explain why it's lower today. The overall productivity average is still meeting expectations, so lower productivity today isn't cause for concern—your team may simply be recovering from a sprint.

Organization Trends (Last 30 Days)

The Organization Trends section gives you a 30-day view of workload and productivity patterns across your organization. While Virtual Office Visibility shows you what's happening right now, Organization Trends helps you identify longer-term patterns and potential problems before they become critical.

Above the card, you'll see the average productive hours metric for your entire organization over the last 30 days. Click the   symbol to navigate to Organization Insights for additional organization-wide insights. Note: Data displayed is based on your Viewable Groups. This data refreshes once per day. 

Workload

The Workload card helps you identify teams at risk of burnout or underutilization. It categorizes each team by current workload and compares this month's distribution with last month's, helping you spot trends before they become problems. The last data refresh date and time appear in the bottom right corner of the card.

 

The metric on the left displays your organization's health status as a percentage and compares the current workload to the last 30 days. Click View 30-day workloads to see a breakdown by team. Select any team to open the Team Management dashboard.

 

The pie chart represents the percentage of teams at each of the four workload statuses:

Optimal At least (≥) 70% of team members are Healthy.
High At least (≥) 50% of team members are Overutilized.
Low More than (>) 50% of members are Underutilized.
Varied Assorted types of workloads across the team members, not falling into the parameters of High, Optimal, or Low statuses.

Productivity Goal Attainment

This card shows the percentage of your organization that is meeting or missing productivity goals over the last 30 days. It helps you identify teams that consistently struggle to meet expectations and understand broader productivity trends. The last data refresh date and time appear in the bottom right corner of the card.

The metric on the left displays your organization's goal attainment as a percentage and includes a comparison of goal attainment over the last 30 days. Click View 30-day goal achievement to see a breakdown by team. Select any team to open the Team Management dashboard. Select plans allow you to customize goals at the team or account level. 

 

The pie chart represents the percentage of teams in each productivity goal attainment status:

Achieving A team or individual is meeting or exceeding their Productive Hrs/Day goal.
Missing A team or individual is not meeting their Productive Hrs/Day goal.

 

Important:
  • Select plans allow you to customize goals. For these accounts, the goal used for all calculations is the highest Productive Hrs/Day goal set for any of the teams being evaluated (all Viewable Groups).
  • For plans that do not allow goal customization, the goal used for all calculations is set to the default industry standard of 7 Productive Hrs/Day. (For ActivTrak accounts created prior to November 7, 2024, the default Productive Hrs/Day Goal is 6 hours.) Learn more about ActivTrak's benchmarks and goals here

Best practices

Make the Organization Overview a valuable part of your leadership routine:

  • Check it daily: Start your day with a quick scan of Virtual Office Visibility to understand today's activity and goal progress
  • Review trends weekly: Dedicate time each week to analyze the 30-day trends and identify teams that need support
  • Combine real-time and historical data: Don't judge today's performance in isolation. Use the 7-day trend chart to understand if today is an outlier or part of a pattern
  • Act on workload imbalances early: Don't wait for teams to burn out. When you see high workload levels, intervene quickly to redistribute work or add resources
  • Use the "View" links: Don't stop at the overview metrics. Click through to see team-by-team breakdowns for actionable insights
  • Compare month-over-month changes: Pay attention to the +/- variations. Consistent trends in one direction often indicate something important is happening
  • Customize your goals: If you have access to custom goals, set realistic targets for each team rather than using a one-size-fits-all approach
  • Share insights strategically: Use data from Organization Overview in leadership meetings to drive data-informed decisions about resource allocation and priorities
