This glossary will help you understand the key metrics and terminology used in the four Home Dashboards: Admin Panel, Organization Overview, Team Management and Activity Dashboard.

Achieving

Definition

A goal achievement status indicating that a team or individual is meeting or exceeding their Productive Hrs/Day goal.

 

Calculation

Productive Time ≥ 100% of Productive Hrs/Day goal

 

Example

If your team's goal is 7 productive hours per day, and they average 7.2 hours, they're "Achieving" their goal.

Active

Definition

A user is actively interacting with their computer keyboard or mouse.

 

Example

If your team has 50 users and 40 have logged activity today, your "active users today" would be 80%.

Active now

Definition

A real-time status indicating that a user is currently engaged with their computer, with active keyboard and mouse interaction being detected.

 

Example

At 2:30 PM, if a user is actively typing in a document or navigating through applications, they would show as "Active now."

Active today

Definition

A daily status indicating that a user has shown activity at some point during the current day. This doesn't mean they're currently active.

 

Example

If it's 3:00 PM and a user worked from 9:00 AM to 12:00 PM before going to lunch or meetings, they would show as "Active today" even though they might be "Inactive now."

Category

Definition

A classification group for applications and websites that organizes activities by function or purpose. Categories help you understand how time is spent across different types of work activities.

 

Example

Common categories include Chat & Messaging, Meeting Software, and Marketing. Microsoft Teams might be categorized under "Chat & Messaging," while Zoom falls under "Meeting Software."

Duration

Definition

The length of time spent on an activity, application, website, or category. Duration is measured in hours and minutes.

 

Example

A user might have a duration of 45 minutes in a project management tool.

First Seen

Definition

A filter in the Activity Dashboard that sorts users by their earliest recorded activity, displaying those who were first active at the beginning of the day at the top of the list. Use this filter to quickly identify which users started their workday earliest.

Goal Achievement

Definition

A status indicator showing how a team or individual is performing relative to their established Productive Hrs/Day goal. Possible statuses include Achieving and Missing.

 

Example

A team with a goal of 6.5 Productive Hrs/Day and an average of 6.8 Productive Hrs/Day would have a "Achieving" goal achievement status.

Healthy

Definition

A utilization status indicating that a user is within (±) 20% of their Productive Hrs/Day goal.

 

Example

If the goal is 7 Productive Hrs/Day, and a user averages 6.3 Productive Hrs/Day hours (90%), they have a "Healthy" utilization status.

Definition

A workload status for a team indicating that at least (≥) 50% of team members are Overutilized.

Inactive

Definition

A user has no recorded activity via their computer keyboard or mouse. This may occur when users are working offline or not actively using monitored devices.

 

Example

If your team has 50 users and 10 have not logged activity today, your "users inactive today" would be 20%.

Definition

A real-time status indicating that a user is not currently engaged with their computer, with no keyboard or mouse interaction being detected.

 

Example

A user would show as "Inactive now" during their lunch break, while attending an in-person meeting, or after they've locked their computer at the end of the day.

Definition

A daily status indicating that no activity has been recorded for a user during the current day. This may indicate time off, remote work without agent installation, or technical issues.

 

Example

A user taking a sick day, working from an unmonitored device, or experiencing Agent connectivity issues would show as "Inactive today."

Definition

A filter in the Activity Dashboard that sorts users by their most recent recorded activity, displaying those who were last active at the latest point in the day at the top of the list. Use this filter to quickly identify which users have been active most recently.

Offline Meetings

Definition

Time spent in scheduled Offline Meetings or appointments that don't involve computer applications, captured through calendar integration.

 

Example

In-person client meetings, phone calls with customers, strategy sessions in conference rooms, or walking meetings that contribute to productivity but don't involve screen sharing or digital collaboration tools.

Definition

Definition

Example

If the goal is 7 Productive Hrs/Day, and a user averages 9.5 Productive Hrs/Day (135%), they will have an "Overutilized" utilization status.

Passive

Definition

A user has stopped providing computer keyboard or mouse input within the time frame set by Passive Time Settings and before inactivity is measured as Inactive Time.

 

Example

A user joins a Zoom meeting and stops interacting with her machine to listen. Other examples include reading industry reports, watching webinars, or reviewing training materials.

Passive now

Definition

A real-time status indicating that a user's computer is on, but no keyboard or mouse activity being detected.

 

Example

A user might show as "Passive now" if they're in a video call, reading a long document, or attending a virtual meeting without actively typing or clicking.

Productive

Definition

Time spent in applications that have been classified as work-related. Includes both active and passive engagement with work tools that directly contribute to business goals.

 

Example

Total time spent in work applications like email, CRM systems, productivity software, business websites, project management tools, and documents—regardless of whether the user is actively typing or passively reading. The key factor isn't whether someone's hands are moving, but whether the activity serves a business purpose.

Productive Hrs/Day

Definition

The average productive hours per day for the selected time period, including both scheduled and non-scheduled hours

 

Calculation

Total productive hours / Total work days

 

Example

If a user had 120 productive hours across 20 work days, their Productive Hrs/Day would be 120 / 20 = 6.0 hours per day.

Productivity %

Definition

The percentage or amount of time spent on activities classified as productive compared to total work time. Productivity metrics help measure how effectively time is used toward business objectives.

 

Calculation

(Productive Time / Total Active Time) × 100

 

Example

If a user logs 8 hours of total activity and 6.5 hours are in productive applications, their productivity rate is 81%.

Status

Definition

A column in the Pending Classifications table that displays whether an activity has been classified as Productive or Unproductive. Status reflects how ActivTrak categorizes the time users spend in a given application or website, and is used to calculate productivity metrics across reports and dashboards.

 

Example

Slack may be classified as Productive because it supports team communication, while Facebook may be classified as Unproductive because it is not work-related.

Team (Group)

Definition

An organizational unit in ActivTrak that groups users together based on shared characteristics such as department, function, reporting structure, or project assignment. Teams (also known as Groups) serve as a primary filter for analyzing productivity data and enabling comparative analysis across different groups within an organization.

 

Teams in ActivTrak:

  • Created and managed by administrators
  • Allow for hierarchical structures (teams within teams)
  • Serve as filters for dashboards and reports
  • Enable team-level goal setting and benchmarking
  • Provide context for productivity comparisons

 

Example

A financial services company has structured its ActivTrak teams to match its organizational hierarchy:

  • The Accounting team consists of 8 members, averaging 6.2 productive hours per day, which is above their 6.0-hour benchmark.
  • The Investment Analysis team comprises 12 analysts, who currently average 5.8 productive hours daily, slightly below their target of 6.0 hours.
  • The Client Services team, the largest group with 15 members, maintains a productivity level of 6.5 hours per day, exceeding its 6.0-hour goal.
  • The IT Support team of six specialists averages 5.7 productive hours daily, exceeding their lower benchmark of 5.5 hours, due to the reactive nature of their work.

Example

Time spent in newly installed software, unrecognized applications, or websites that haven't been categorized as productive or unproductive. This might include exploring a new project management tool before it's been classified, browsing a vendor's demo site, or using industry blogs that haven't been categorized yet. Often reveals new tools your team is adopting.

Definition

Example

Unproductive

Definition

Time spent in applications classified as non-work related, such as social media, entertainment sites, or personal browsing. Includes both active engagement and passive consumption of personal content during work hours.

 

Example

Combined time spent on social media, entertainment websites, online shopping, games, and other non-work activities during business hours. This includes actively posting on social platforms, browsing news sites, shopping online, or watching videos, as well as passively reading posts or watching content without interaction.

User (Team Member)

Definition

Individual employees or contractors whose digital activity is being tracked through the ActivTrak agent software. In ActivTrak, a "user" typically corresponds to a specific person whose work habits, productivity, and application usage are monitored and analyzed within the platform.


Key aspects of users in ActivTrak:

  • Each user typically requires one license in the ActivTrak system
  • Users are organized into teams for analysis and reporting
  • User data forms the foundation for all productivity metrics
  • Users can be assigned specific productivity benchmarks and goals
  • User privacy settings can be configured according to organizational policies
