Activity Dashboard

Activity Dashboard (Home > Activity Dashboard) is your at-a-glance view of what's happening across your organization. It brings together productivity metrics, team activity, and pending tasks in one place, so you can quickly assess performance and identify areas that need attention.

 

This dashboard utilizes Live Data

This dashboard is powered by ActivTrak's Live Data, which shows real-time information as it happens with updates every 2-5 minutes. For a complete explanation of how Live Data differs from Insights, see Understanding Live Data and Insights.

Glossary: Home Dashboards

For a deep dive into each of the terms and metrics found in the Home Dashboards (Activity Dashboard, Team Management, Organization Overview, and Admin Panel), check out the supporting Glossary.

Filters

Activity Dashboard can be customized using the filter options at the top of the dashboard:

  • Date Range: Select a time period to analyze
  • Users / Groups: Choose a User, Group, or Computer

Click the Refresh button in the top right corner after making your filter selections to ensure they are applied to the dashboard.

Overall Productivity

To the right of the Activity Dashboard filters, you will see a numerical summary of activity for your selected filters. These high-level metrics help you quickly gauge productivity levels without diving into detailed cards.

 

Productive Time (teal) Hours spent on activities classified as productive
Unproductive Time (purple) Hours spent on activities classified as unproductive
Undefined Time (gray) Hours spent on unclassified activities
Screen Time (black) Time spent on a device
(Productive Time + Unproductive Time + Undefined Time)

Download the Agent

The Download Agent button provides quick access to Agent installers, making it easy to install ActivTrak on new devices or reinstall on existing ones. Select from the dropdown menu to download the installer for the Windows Agent, the macOS Agent, or to install the Chrome extension.

Today's Real-time Visibility

Today's Real-time Visibility provides a real-time snapshot of who's working, how productive they are, and their current availability. This card is perfect for quick availability checks and identifying engagement patterns throughout the day.

 

The productivity cards may be filtered (All, Active Now, Active Today, Passive Now, Inactive Now, Inactive Today) or sorted (Productivity %, Username, First Seen, Last Seen) using the dropdown menus to the left of the Users/Groups toggle.

Click Real-time Visibility   to open Real-time Visibility for more detailed real-time data, including individual activity timelines, detailed status changes, and additional filtering options.

Productivity Trends

The Productivity Trends card displays activity trends over time in a bar chart, making it easy to spot patterns, compare days, and identify productivity trends within your selected timeframe. The chart displays the following time measurements: Productive, Unproductive, Undefined, and Offline Meetings.

 

Click Productivity Trends   for a shortcut to Productivity Trends for advanced time-series analysis, goal tracking, and more detailed productivity breakdowns.

Productivity by User

The Productivity by User card ranks individuals and teams by productivity time, helping you identify high performers and those who might need support. The chart displays the following time measurements: Productive, Unproductive, and Undefined.

 

Click Productivity by User    to open Productivity by User for detailed individual activity analysis, goal tracking, and additional metrics.

Application Usage

The Top Applications widget displays which software your team uses most frequently. This helps you understand whether application usage aligns with team roles and goals, identify productivity patterns, and spot potential distractions.

 

Click Application Usage    to open Application Usage for detailed application analytics, usage trends over time, and user-specific application data.

Website Usage

Similar to Top Applications, the Top Websites widget breaks down web activity to help you understand online work patterns, identify frequently accessed resources, and spot potential time-wasters.

 

Click Website Usage    to open Website Usage for detailed website analytics, trending data, and user-specific browsing patterns.

Category Usage

The Top Categories widget groups applications and websites into meaningful categories that reflect how your team actually spends their time. Categories provide a higher-level view than individual apps or sites, making it easier to spot broad patterns in work activity.

 

Click Category Usage    to open Category Usage for historical category trends, user-specific category data, and advanced category analytics.

Pending Classifications

Pending Classifications highlights websites and applications that haven't been categorized yet. Since unclassified activities don't appear in productivity calculations, this widget helps you maintain data accuracy and get the most value from your reports.

This card shows:

 

 

The total number of pending classifications is displayed in the top-right corner of the card. Applications or websites can be classified by Category or Status using the dropdown menus in the card. Once classified, the item immediately disappears from your Pending Classifications list and begins appearing in productivity reports and dashboards. For best results, review and classify items weekly to keep your data current.

Alternatively, click into one of the rows to open the Classification details page for that application or website. To navigate to the Classifications page, click Classifications   . For more information, check out Activity Classification.

Make the Activity Dashboard work harder for you with these best practices:

Daily routines

  • Start with Today's Team Pulse – Check who's online and how productivity is tracking before planning your day
  • Review Productivity Stats – Get a quick sense of whether today is typical or unusual
  • Clear pending classifications – Spend 5 minutes classifying high-usage items to keep data accurate

Weekly reviews

  • Compare week-over-week – Set filters to "This Week" and "Last Week" to spot trends
  • Review Top Applications and Websites – Verify teams are using tools effectively
  • Analyze Top Categories – Ensure time allocation matches priorities
  • Check different teams – Cycle through team filters to understand performance across departments

Strategic analysis

  • Use custom date ranges – Compare the same period across different months or quarters
  • Print for offline review – Use Print Page for leadership meetings or offline analysis
  • Combine multiple widgets – Look for correlations (e.g., high productivity but low usage of key tools might indicate inefficiency)
  • Context is key – Always consider external factors (company events, holidays, major projects) when interpreting data

Optimization tips

  • Reduce undefined time – Work toward minimizing gray sections in productivity charts through consistent classification
  • Bookmark for specific needs – Save different filter combinations as browser bookmarks for quick access
  • Use the dashboard as a conversation starter – Share findings with teams transparently rather than using data punitively
  • Drill down when needed – Use widget titles as shortcuts to detailed reports when you need more information
  • Watch for patterns, not single days – One unusual day doesn't indicate a problem; look for consistent trends

Common pitfalls to avoid

  • Don't micromanage from the dashboard – Use data to identify patterns and opportunities, not to police every minute
  • Don't ignore context – Low productive time might be appropriate for certain roles, projects, or time periods
  • Don't over-rely on rankings – Quality matters more than quantity; top productivity time doesn't automatically mean best performance
  • Don't forget to refresh – After changing filters, always click the Refresh button to ensure changes are applied
  • Don't neglect classifications – Unclassified data skews all your metrics; keep pending classifications under control
