This glossary will help you understand the key metrics and terminology used in the Technology Utilization dashboard. Use this reference to interpret dashboard data and effectively communicate findings to your leadership team.
Also known as Users
Definition
The number of users with activity in the selected time frame, within
the filters applied to the dashboard (such as Team, Category, Application
or Site, and Application or Site Detailed). A user is counted once
for the period, no matter how many days or hours they were active.
Example
With Zoom selected for the last 30 days, 32 users had activity in
Zoom during that period, so Active Users shows 32.
In the Technology Usage Daily Trend chart, each bar shows how many
users were active on that day. A daily bar is usually lower than
the summary total, because a user who was active on only some days
counts toward the total but not toward every day's bar.

Also known as Allocation % (Activity Date)
Definition
The share of total activity time spent in a category, application, or site during the selected time frame, within the filters applied to the dashboard. Allocation % shows where time goes relative to everything else, rather than how much time was spent in absolute terms. It also appears as Allocation % (Activity Date) on the Top Changes tab, where it shows the share for the current Activity Date range so you can read it next to the change from the comparison period.
Example
If users spent 71.9 hours in Chat & Messaging out of about 455 total hours of activity, the category's Allocation % = (71.9 / 455) × 100% = 15.8%. Because Allocation % is a share of the total, it can rise when time in other categories falls, even if hours in that category stay the same.

Definition
The change in a category, application, or site's Allocation % between
the Activity Date range and the comparison period set in the Date
Comparison filter. A positive value means the category, application,
or site took a larger share of activity in the current period, and
a negative value means it took a smaller share.
Calculation
Allocation % (Activity Date) − Allocation % (Date Comparison)
Example
If Slack accounted for 18.2% of activity in the comparison period
and 20.9% in the Activity Date range, its Allocation % Chg = 20.9%
− 18.2% = 2.7%. Because Allocation % is a share
of the total, a category can show a positive change simply because
another category declined, so check the Hrs column to see whether
time in the category actually grew.

Productivity Optimization
Workforce Management + Productivity Optimization Bundle
Definition
The average number of minutes per day that Active Users spent in the selected category, application, or site during the selected time frame. It gives you a team or organization benchmark, so you can see which users spend more or less time in a tool than the norm.
Example
If Avg. Active Mins/Day shows 38.3 for Zoom, a user with a Duration of 30 mins/day spends less time in Zoom than average, and a user with 52 mins/day spends more. A difference alone isn't a problem. Compare it to the user's role and Days with Activity before drawing conclusions.

Productivity Optimization
Workforce Management + Productivity Optimization Bundle
Definition
A classification group for applications and websites that organizes
activities by function or purpose. Categories help you understand
how time is spent across different types of work activities.
Example
Common categories include Chat & Messaging, Meeting Software, and
Marketing. Microsoft Teams might be categorized under
Chat & Messaging, while Zoom falls under
Meeting Software.

Productivity Optimization
Workforce Management + Productivity Optimization Bundle
Definition
The number of days within the selected time frame on which a user
had activity in the selected category, application, or site. Use
it to see how consistently each user relies on a tool, regardless
of how much time they spend in it on any given day.
Example
With Zoom selected for the last 30 days, a user with 20
Days with Activity used Zoom on 20 of those days. Pair this with
Duration (mins/day)
to tell a frequent, light user apart from an occasional, heavy one.
A user with 20 days and 309 mins/day relies on the tool steadily,
while a user with 3 days and 309 mins/day uses it in bursts.

Productivity Optimization
Workforce Management + Productivity Optimization Bundle
Definition
The number of days that have passed since a user's most recent activity.
In the Users with Activity during Time Range report, it shows how
recently each active user last used the selected category, application,
or site. The Inactive Users during Time Range report shows how long
each inactive user has gone without using it. Use it to identify
users who stopped recently, rather than those who haven't been active
in months.
Example
A user with a value of 3 in the Users with Activity report used the
tool within the last few days, while a user with a value in the hundreds
in the Inactive Users report has likely stopped using it altogether.
Review very long gaps before making license decisions, since they
may belong to former employees or service accounts.

Also known as Hrs, Duration (mins/day) and Total Hrs/Day
Definition
The amount of time spent in the selected categories, applications,
or sites during the selected time frame. Duration appears in three
forms depending on the report:
- Hrs: The total hours of activity for a category, application, or site across the full time frame.
- Duration (mins/day): The average number of minutes per Active Day an individual user spent in the selected tool or category.
- Total Hrs/Day: The combined hours of activity for all active users on a single day.
Example
In the Users with Activity during Time Range report, a user with
20 Days with Activity and a Duration of 309 mins/day
averaged about
5 hours a day in the tool on the days they used it. In the Top Changes
tab, an application shows 135 hours of
activity across all users during the period. In the Technology Usage
Daily Trend chart, a weekday showing around 185
Total Hrs/Day means
all active users combined spent that amount of time in the tool that
day.

Productivity Optimization
Workforce Management + Productivity Optimization Bundle
Definition
The number of users in scope who had no activity in the selected
time frame, within the filters applied to the dashboard (such as
Team, Category, Application or Site, and Application or Site Detailed).
Inactive users are the counterpart to Active Users. Together, the
two counts cover every user in your selection. Use this list to find
unused licenses to reallocate or cancel, or to find where training
may be needed to drive adoption of an essential tool.
Example
With Zoom selected for the last 30 days, the Adoption summary shows
32 Active Users and 21 Inactive Users, which suggests
53 users in scope. The Inactive Users during Time Range report lists
each of those 21 users along with their Days since Last Activity
and Last Activity Date, so you can see who stopped using the tool
recently and who hasn't used it in a long time.

Definition
The date of a user's most recent activity. It appears in the Inactive
Users during Time Range report, next to Days since Last Activity,
so you can see exactly when each inactive user last used the selected
category, application, or site. Use it to confirm how long a user
has been inactive and to decide whether a license or training follow-up
is needed. The date is displayed in the following format: MMM DD,
YY.
Example
A user with a Last Activity Date of Aug 19, 26 was
last active on August 19, 2026. On October 19, 2026, that is 61 days
ago, which is what the Days since Last Activity column shows. A user
with a date in 2024 or early 2025 has been inactive for well over
a year and may no longer be with your organization, so check before
reallocating or canceling a license.

Productivity Optimization
Workforce Management + Productivity Optimization Bundle
Definition
Individual employees or contractors whose digital activity is being tracked through the ActivTrak Agent software. In ActivTrak, a "user" typically corresponds to a specific person whose work habits, productivity, and application usage are monitored and analyzed within the platform.
Key aspects of users in ActivTrak:
- Each user typically requires one license in the ActivTrak system
- Users are organized into teams for analysis and reporting
- User data forms the foundation for all productivity metrics
- Users can be assigned specific productivity benchmarks and goals
- User privacy settings can be configured according to organizational policies

Definition
The change in the number of
Active Users
for a category, application, or site between the Activity Date range
and the comparison period set in the Date Comparison filter. A positive
value means more users were active in the current period, a negative
value means fewer, and zero means the count did not change.
Calculation
Active users (Activity Date) − Active users (Date Comparison)
Example
If 9 users were active in Slack in the comparison period and 7 in
the Activity Date range, Users Chg = 7 − 9 = -2.
Read this alongside
Allocation % Chg.
If Slack's share of activity grew while its users dropped, fewer
people are spending more time in the tool.
